Oriole Landscaping is a mid-town Toronto design/build firm that focuses on high-end residential installations. Oriole has been working diligently for over 40 years in the industry and continues to refine its business culture, landscape construction, and horticultural maintenance processes.

Position Summary

The bookkeeper is responsible for accurately recording and maintaining financial transactions, including accounts payable, accounts receivable and general ledger entries. This role involves managing and organizing financial records, reconciling bank statements, and generating financial reports. They will also assist with budget preparation, tax filings, and ensuring compliance with relevant financial regulations.

Key Responsibilities

  • Receive and sort all bills and documents from various suppliers and sub-contractors.
  • Review the above documents against Purchase Orders/Delivery Slips and obtain approval from project managers.
  • Communicate with project managers any discrepancies and contact suppliers/sub-contractors when needed.
  • Enter approved bills in the accounting system and correctly allocate costs to separate jobs.
  • Review to ensure all bills are posted to the system and determine the appropriate timing of payments.
  • Assist with paying bills to suppliers and sub-contractors.
  • Assist with paying deposits to suppliers and sub-contractors.
  • Follow up on outstanding payments and investigate them when necessary.
  • Check sub-contractors’ WSIB Clearance Certificates.

Skills & Competencies

  • College diploma in accounting with knowledge of Canadian accounting principles is a must (designation such as CGA or CPA is not required)
  • Knowledge of Canadian payroll is an asset.
  • 2-3 years of related experience in an office environment.
  • Proficiency in MS Office – Advanced MS Excel skills is a must.
  • Proficiency in Accounting Software – QuickBooks Desktop (additional knowledge in QuickBooks-Online is an asset)
  • Honest character, with a strong commitment to the responsibility of meeting strict deadlines.
  • Highly organized with a critical eye. Attention to detail is essential for this position.
  • Ability to maintain reliable work records for later referencing and auditing.
  • Self-starter with excellent time management skills, and the ability to plan a work schedule while adapting to changes.
  • Willingness to learn new skills.
  • Willingness to assist colleagues and management when needed, as a team member, to move projects forward.
  • Clearly communicate (written and verbally) with colleagues and management in a friendly manner.
  • Ask questions when not certain.
  • Ability to grasp the big picture of the company’s workflow and understand how components are related to one another.

Working Conditions 

This is a part-time, permanent position. Hours will range from 20 per week, Monday to Friday with full-time opportunity in 2028. The company works to provide long weekends off for all employees.

This position requires a high level of personal organization and motivation. The applicant must be comfortable sitting for long periods of time.
